19 NYCRR 182.9 — Effective January 25, 2023, New York State mandates all notaries public maintain a journal of every notarial act performed, including the date, time, type of act, signer identity, and verification method. Failure to comply can result in suspension or revocation of your commission.

Paper journals create real liability

Most notaries are one audit away from a compliance violation they don't even know they're committing.

🔥
Lost or destroyed records
Fire, flood, or simple misplacement means years of records gone — and 10-year retention violated.
📝
Incomplete entries
Handwritten journals often miss required fields. NY law is specific about what must be recorded.
🔍
Unsearchable records
Finding a specific act among hundreds of handwritten entries takes hours and creates errors.
💻
Tied to one location
Physical journals can't travel with you to every closing, appointment, or mobile notarization.
$500
Maximum fine per violation
New York notaries who fail to maintain proper records face fines, suspension, or permanent revocation of their commission by the Department of State. One inspection. One missing entry. One violation.

Common questions

Is this journal legally acceptable under New York law?
Yes. 19 NYCRR 182.9 explicitly permits "a secure electronic record" as an acceptable journal format. NYNotaryLog is a secure, encrypted electronic record system that meets this requirement. We recommend printing a PDF backup periodically for extra security.
I'm a NY attorney — do I still need to use this?
A 2024 amendment exempts NY licensed attorneys from the journal requirement for non-electronic notarial acts. However, if you perform electronic or remote online notarizations (RON), the journal requirement still applies to you.
What happens to my data if I cancel?
Before canceling, you can export all your records as a PDF or CSV. Your data is retained for 90 days after cancellation in case you want to reactivate. We will never delete your records without giving you the ability to export them first.
Can I access my journal from my phone at a closing?
Yes. NYNotaryLog is a fully responsive web app that works on any smartphone, tablet, or computer. Your records sync in real time so everything you enter on your phone is immediately available on your computer.
How long are my records kept?
Active subscribers retain records for as long as their subscription is active, with a minimum guaranteed retention of 10 years from each entry date — matching New York State's mandatory retention period exactly.
